The Role

Mitsui & Co. Chemical division is seeking an experienced Senior Trading Assistant to join their team. This position facilitates contract negotiation and trading activities between suppliers and customers. This role reports to the General Manager and Deputy General Manager Chemical Division. The ideal candidate will have had relevant experience in a commercial role dealing with contract administration, international trading and logistics management. They will also have the ability to support business development initiatives.

Key responsibilities in the role are:

  • Issue sales/purchase contracts to customers/suppliers
  • Submit workflows to instruct Process Control to realise contracts, commission and charges in SAP/ECC and settle payments to the suppliers.
  • Maintain spread sheets of contract records, local costs, customer sales and profit details to keep them up to date for review and analysis.
  • Support the negotiation of contracts according to MCA’s policies and procedures and in line with the division’s and MCA’s quantitative and qualitative objectives.
  • Resolve customer/supplier's queries and issues in a timely and professional manner. Assist with resolution of sea freight insurance claims with support from Managers.
  • Follow up existing and potential customer enquiries and confirm product availability and pricing with suppliers.
  • Update information on products e.g. Material Safety Data Sheet and product specification. Assist with the import/export statistics analysis, acquire trading and marketing knowledge and know-how in the chemical industry.
  • Prepare tender pre-qualification documents main for assigned products (such as but not limited to conveyor belt, marine fenders and hoses) and register with customers /engineering companies where required to be an approved tenderer for upcoming tenders/enquires.
  • Review tender documents and understand submission requirement/procedure, send tender documents to supplier and manufacturer to obtain their offer package.
  • Assist managing the risks of the commodities, freight and foreign exchange markets in line with Mitsui guidelines.This includes variations in currencies and payment terms of sales and purchase contracts
  • Manage stocks forecasts, costing & pricing including:
    • Obtaining forecasts from customers on regular basis and performing demands estimate based on forecasts received.
    • Assist PIC with decisions on stocks order quantities based on current and forecast stocks levels in order to maintain them as per customer requirements.
    • Costing calculation based on booked exchange rate and related local charges and advise customers of new pricing if there are any changes.
  • Provide guidance, support, instructions and feedback to the supporting staff to ensure assigned tasks completed.
  • Prepare month end account statements and stock report for reconciliation.

     

    The Person

    You will enjoy working within a successful team of talented individuals and bring your own proven experience to the division. You will bring to the role excellent negotiation and communication skills, and good knowledge of international trade terms and procedures. With an ability to co-ordinate and prioritize work you will have the following experience and skills:

  • A tertiary qualification in or part qualification in International Trade or another relevant business discipline is an advantage.
  • Completion of a Business Administration course and/or an appropriate import/export documentation course is preferred.
  • Commercial experience that includes extensive exposure to trading, importing and exporting activities is an advantage.
  • Administration experience supporting management and/or a team is essential.
  • Good knowledge of international trade and shipping terminologies is essential
  • Logistics management experience and an understanding of trade terms, procedures and import/export documentation is an advantage
  • Relevant experience trading and/or dealing with suppliers and customers is an advantage
  • Good people and communication skills
  • Sound negotiation skills an advantage
  • Good computer and organisational skills
  • Sound knowledge of SAP ECC is essential, or knowledge of similar systems
  • Sound knowledge of basic accounting concepts
  • Asian language skills are an advantage. Understanding of Asian culture an advantage
  • Must be accepting of change and be sensitive to cultural differences
  • Ability to be flexible and adaptable to changing work conditions
  • Ability to support business development initiatives is an advantage
  • Ability to provide timely responses and follow up enquiries
  • Ability to work as part of a team to accomplish goals
